The Real Cost of Being
Your Own PA
I want you to do a calculation. It takes about three minutes and the result will be, at minimum, uncomfortable. At maximum, it will be the thing that finally prompts you to do something about it.
Here is what you need: your approximate hourly rate (or target hourly rate, if you are a founder). And an honest estimate of how much time you spend each week on administrative tasks — email, scheduling, travel booking, document formatting, invoice management, and so on.
The calculation
Let us use conservative, mid-market numbers. You bill or value your time at £100 per hour. You spend, conservatively, two hours per day on admin — that is ten hours per week, forty hours per month.
40 hours x £100 = £4,000 per month. Every month. On tasks that, with the right support in place, do not require your involvement at all.

The hidden cost: cognitive load
The financial calculation is the easy part. The harder part to quantify is the cognitive load. Every task that sits in your peripheral awareness — the email you need to reply to, the meeting you meant to reschedule, the travel you meant to book — consumes mental energy even when you are not actively working on it.
Psychologists call this the Zeigarnik effect: unfinished tasks occupy working memory disproportionately until they are completed or formally handed off. A full inbox does not just cost you the time to process it — it costs you the attention you lose to knowing it is there.
The opportunity cost: what you are not doing
There is a third cost that never appears on a spreadsheet: the opportunities you are not pursuing because you are too busy managing logistics. The introduction you have not followed up. The proposal you have not had time to write. The strategy conversation you keep postponing because the operational noise is too loud.
This is the real cost of being your own PA — not just the hours spent, but the hours that could have been spent on work that moves the needle, builds the business, or simply improves your quality of life.
Take your hourly rate. Multiply by the number of hours per week you spend on admin. Multiply by four. That is your monthly admin cost. Compare it to £300 for 10 hours of expert EA support. The conversation usually ends there.
Virtual assistance is not an expense. It is an investment — one that pays back in time, clarity, and the compounding value of being able to focus on the work that only you can do.
